Busitema University Library Trains Staff Across Seven Campuses on New Digital Task Tracking System

Busitema University Library has rolled out a new digital performance management tool to staff across all seven campuses, aiming to bring greater consistency, accountability and transparency to how library work is planned, recorded and reported.

The Integrated Individual Task Tracker and Timesheet System was introduced through a virtual training held on Tuesday, 7 July 2026, from 2:00 p.m. to 4:40 p.m. The session facilitated by Gerald Kisombo, Junior Graduate Fellow (Monitoring and Evaluation), brought together library staff and Graduate Fellows from all seven campuses of the University.

Until now, work planning and reporting across the library’s campuses relied on a mix of manual timesheets, individual reporting formats and separate performance reviews. This made it difficult to maintain consistency or compare performance data across locations. The new system connects every stage of the reporting cycle into one automated workflow.

It begins with each staff member's performance agreement and work plan, which sets out their targets and planned activities for the period. From there, staff make daily entries into a timesheet module, recording the tasks they have completed, the time spent on them, the outputs delivered and the projects or work areas involved. That information is then carried automatically into an Automated Task Tracker, allowing staff and supervisors to see the status of assigned tasks and progress against work plans in real time.

The same data feeds two further outputs which include a Monthly Performance Report that summarises completed activities, achieved outputs and hours worked, and an Individual Performance Dashboard that presents key performance indicators and productivity trends through charts and visual summaries. Together, these feed into management review and staff appraisal, giving supervisors a consistent, evidence-based basis for feedback and decision-making.

Library management has long dealt with a familiar problem: performance data scattered across different formats and hard to bring together across the University's seven campuses. A standard process now lets supervisors review information the same way every time, whether they're checking one staff member's monthly output or looking at trends across the whole Library. It also means staff no longer have to enter the same information into separate timesheets, task lists and reports.

The training combined instruction with practical application. Participants were guided through the system's core components, including completing the daily timesheet, using the automated task tracker, reviewing monthly reports, and interpreting the individual performance dashboard, before testing the tool themselves through hands-on exercises. An open discussion and question-and-answer segment followed, giving participants the chance to raise practical concerns and clarify how the system would apply to their specific roles.

To support staff as they begin using the system on their own, a comprehensive training manual was shared in PDF format, giving them a reference guide to return to as questions come up in their day-to-day work.

Participants welcomed the practical format of the session and affirmed their commitment to adopting the system in their daily operations.

The rollout of the Integrated Individual Task Tracker and Timesheet System reflects a broader effort within Busitema University Library to modernise its internal operations. Training staff from all seven campuses on a common system marks a significant step toward more consistent and accountable performance management across the institution, and lays the groundwork for more reliable, data driven decision-making going forward.
